Sample user guide · Fictional inquiry tracker
Review an inquiry and prepare a clear handoff.
Use this guide to try Ketorah's inquiry workflow demonstration. It explains what the tool does, how to make a review decision, and what happens when the underlying information changes.
The three businesses and their inquiries are fictional. This is a portfolio demonstration, not a customer system or client case study. Changes stay in the current browser tab and reset on reload. No messages or proposals are sent.
Understand the workflow and tool
Purpose
Show how a defined process and a small custom tool can make missing information and next actions visible before a team prepares project scope.
Audience
Visitors assessing Ketorah's workflow improvement, custom tool, and documentation services.
Process
| Stage | Result |
|---|---|
| Capture | One record describes the desired outcome, work to discuss, timing, and approver. |
| Clarify | The reviewer can see which of those details are missing. |
| Decide | A person records the next step and the reason for it. |
| Hand over | A scope-ready record can produce an internal preview of the reviewed information. |
Tool boundaries
The tool does not decide whether a prospect will buy, agree a price, send a reply, collect payment, or connect to the real website inquiry form. It has no account, database, or saved browser storage.
Try a review from start to handoff
Starting point
Open the inquiry tracker and select Linden Studio. Its timing and approver are intentionally missing.
Procedure
| Step | Action and expected result |
|---|---|
| 1 | Read the inquiry and its information-to-clarify panel. The missing details are listed by name. |
| 2 | Enter fictional timing and approver details, or select Add fictional example details. Completing the fields leaves the record unreviewed. |
| 3 | Read the complete request. In Why is this the right next step?, write a review reason, such as “Suitable for a scope discussion; the owner will review the proposed deliverables.” |
| 4 | Select Mark ready for scope. The status and next action change. This means scope discussion can be prepared; it is not an accepted project. |
| 5 | Select Preview internal handoff. The preview contains the reviewed details and review reason, and is labeled Not sent. |
Completion check
The record says Ready for scope, the internal preview reflects the current details, and the review trail records your decision. Nothing has been sent externally.
Choose the right decision
Decision table
| If… | Then… |
|---|---|
| Important information is missing or needs confirmation | Add a review note explaining what to clarify, then select Needs clarification. The tool records the decision but sends no question. |
| All four details are complete and the project appears suitable for scope discussion | Add your reason and select Mark ready for scope. Complete information alone never makes this decision automatically. |
| The inquiry should not proceed | Explain the reason and select Decline. No reply is sent. |
| The tool asks for a review note | Enter a reason before choosing any decision. Whitespace alone is not a note. |
| Mark ready for scope is unavailable | Complete the details listed in the information-to-clarify panel. A whitespace-only field remains missing. |
Interpretation rule
Information complete, Ready for scope, proposal sent, project accepted, and payment received are different states. This demonstration only supports information review and preparation of an unsent internal note.
Change details or reset the demo
Changed information
Editing a reviewed detail clears the previous decision and review note, returns the record to New, and hides its handoff preview. Review the changed inquiry before choosing the next action again.
Switch records
Select another fictional business in Sample inquiries. Its details and review trail are independent. Edits remain available while you stay in the current tab session.
Reset procedure
Select Reset demo to restore the three starting inquiries and clear all demo edits, notes, decisions, and previews. Reloading the page also restores the starting data.
Data rule
Use fictional details only. Do not enter client information, passwords, or account credentials. There is no save, export, email, or messaging function.
